The hardest part of exhibiting abroad is rarely the stand itself. It is the team arriving on different flights, the hotel that turns out to be further from the venue than expected, and nobody who knows the local transport.
Big Bus Europa is a transport company based in Waltrop, Germany, operating its own fleet. For exhibitors, delegations and corporate groups travelling in from abroad, we plan and run the entire ground operation within Germany. The vehicles are ours and the drivers are our own staff — we do not pass the work on to anyone else.

From arrival to departure
Every movement runs from a single plan with a single point of contact — even when your team arrives separately.

Airport pick-up
We track your flights. If your team arrives on different flights, each group is met separately. If a flight is delayed, the driver waits at no extra charge. Name board and luggage assistance come as standard.
Check-in
Transfer to your hotel
Straight from the airport to your hotel. If the fair is in another city, the intercity transfer is planned under the same contract.
The fair
Hotel–venue shuttle
Regular services between your hotel and the exhibition grounds throughout the fair. The schedule follows the opening hours and your own programme, including build-up and dismantling days.
Programme
Meetings and evening events
Vehicle and driver for factory visits, client meetings, receptions and business dinners. All movements, within the city and between cities, run from the same plan.

Return to the airport
Transfers timed to your return flights. Where part of the team flies back at a different time, we run separate services.

What exhibitors ask us most
- How far in advance should we book trade fair transport?
- For major fairs such as Hannover Messe, IFA Berlin or EXPO REAL Munich we recommend three months, because coaches and drivers across the region are fully booked in those weeks. For smaller congresses four to six weeks is usually enough. We still review short-notice requests — depending on vehicle size, something is often possible even a few days ahead.
- Will you meet our team if they arrive on different flights?
- Yes. We track each flight separately and meet every group individually. If a flight is delayed the driver waits at no extra charge, because waiting time is already covered by the fixed price. A name board and luggage assistance come as standard.
- What is included in the price?
- Our quote is a fixed price and includes tolls, tunnel and venue parking fees, driver expenses including accommodation, and statutory VAT. Hotel rates in a fair week often double — because the driver's accommodation is inside the quote, that increase never reaches your invoice.
- What group sizes do you handle?
- From 7 to 90 people with our own vehicles: VIP vans for 7 to 9, minibuses for 16 to 19, coaches for 45 to 55, double-deckers for 77 to 81 and articulated buses for up to 90. Larger groups are carried by several vehicles running together.
- Are build-up and dismantling days included in the shuttle?
- Yes, when you tell us about them. The day before the fair opens and the day after it closes are missing from many quotes, even though that is exactly when the stand crew arrives and packs up. We write those days into the schedule from the start.
- Do your drivers speak our language?
- Our team works in German, English and Turkish. For other languages we provide an escort through our partner network who stays with the group for the whole event.
- Do you also serve fairs outside Germany?
- Yes. We handle cross-border events under the same contract, particularly in France (Paris), Belgium (Brussels) and the Netherlands (Amsterdam). Programmes covering several German cities are planned end to end as well.
- Who handles access and parking at the exhibition grounds?
- We do. Every venue has its own coach access points, arrival windows and parking rules, and our dispatch team knows these procedures. Parking fees are included in the quote.
- What if the number of participants changes at short notice?
- Changes before the fair starts are processed free of charge. If the vehicle class changes as a result, we charge only the difference — no new base fee is applied.
- How do we get a quote?
- Three details are enough: which fair and which dates, how many people, and the airport you land at. From those we prepare a transport plan and a fixed-price quote, usually the same day.
